Extensions, late submissions and resubmissions guide

Explore the options in each of the assessment types to help you manage late submissions, extensions and resubmission securely.

About Extensions and Late Submissions Policy

The Extensions and Late Submissions Policy enables students to request an extension to an assessment deadline provided that the programme and/or assessment type are not exempt from the policy. Students can request up to three extensions to individual assessment deadlines in an academic year. The maximum period of extension for coursework is 7 calendar days. Dissertation, final year projects or substantial clinical or research assessment deadlines will be extended by 14 calendar days. No penalty will be applied for work submitted within the extended deadlines if an extension is granted. 

Late submission occurs when a piece of assessed work is submitted after the original submission deadline or an extended deadline. All instances of non-authorised late submission will be subject to a penalty. Some assessment types cannot be submitted late.

Work submitted for assessment up to 48 hours after the submission deadline will receive a penalty deduction of 10 percentage points, to a minimum of the pass mark (for this assessment component), if the work is of a pass standard. 

Application of late submission policy

  1. The deduction will be applied only down to the pass mark, therefore, the deduction may be less than 10%. For example, a UG mark of 44% would be reduced to 40%.
  2. The calculation should take place outside of SITS, managed and recorded at Programme level. The assessment component mark input to SITS is the final mark, that is the final mark after any deductions have been applied.
  3. The 48-hour deduction window does not apply to pass/fail assessments. If a pass/fail assessment is submitted after the published deadline, a fail will be recorded.

About extensions and resubmissions in Moodle & GDPR

If no internal workflow is available in an assessment activity, staff must only use hidden groups to manage resubmissions and extensions of assignments and assessments in Moodle. This ensures that students’ personal information is protected.  Under certain circumstances, students are able to see the membership of any group they have been added to if any other group visibility option is applied.

This is also the case if you are using a separate module for submission points. Groups which give access to specific students must be created as hidden groups.

Please note: The students in the hidden group are unable to view their own membership of the hidden group. If there are any issues with their group membership, they will be unaware of which group they have or have not been added to.

Moodle Assignments

The Moodle Assignment activity has an inbuilt workflow to help manage late submissions, extensions and resubmissions. As long as your assignment meets the pre-requisites below one Moodle Assignment activity can be used to manage extensions, late submissions and resubmissions.

Pre-Requisites

This method of managing late submissions, extensions and resubmissions only works in the following circumstances:

  1. Anonymous marking is enabled.
  2. Marking workflow is used.
  3. Allow partial release of grades while marking anonymously is set to Yes.
  4. Marking is done via Moodle's interface and not Turnitin's Feedback Studio.
    • You can review a Similarity Report via Turnitin, but must mark in Moodle.
  5. Course Office team, enrolled as Programme Admins on the module or category in which the module is located, are available to provide extensions.

If your assignment does not meet all of the pre-requisites, there is an alternative option available.

Late submission

Set the Cut-off date to 48 hours after the extension date. Late submission deductions need to be manually applied.

Use the Extend feature.

About Moodle Assignments: Alternative option

If the pre-requisites required for the inbuilt workflow don't apply to the Assignment on your module, there is an alternative option available.

Late Submissions

Set the Cut-off date to 48 hours after the Due date. Late submission deductions need to be manually applied. 

Extensions

Set up additional assignment(s) to manage submissions for students with resubmissions and/or extensions. Set the Cut-off date to 48 hours after the extended deadline to allow for late submissions.

In order to restrict additional assignment(s) to students with extensions or resubmissions you will need to create a hidden group and give access to that group. Do not use groups with any other visibility options.

Turnitin Assignment

Late submissions

Set Allow Submissions after the Due Date to Yes. Please note there is no option to set a cut-off date so students can continue to submit after the late submission period. Late submission deductions need to be manually applied. 

Extensions

Create additional assignment(s) to manage submissions for students with resubmissions and/or extensions. Set Allow Submissions after the Due Date to Yes for each assignment activity.

In order to restrict this assignment to students with extensions or resubmissions you will need to create a hidden group and give access to that group. Do not use groups with any other visibility options.

Video Assignment

Late submissions

Set Prevent late submissions to No. Please note there is no option to set a cut-off date so students can continue to submit after the late submission period. Late submission deductions need to be manually applied. 

Extensions

The Video Assignment activity does not have inbuilt features to enable resubmissions and extensions and will require the setting up of additional assignment(s) to manage submissions for students with resubmissions and/or extensions. Set Prevent late submissions to No for each additional assignment.

In order to restrict this assignment to students with extensions or resubmissions you will need to create a hidden group and give access to that group. Do not use groups with any other visibility options.

Exemptions

Please note that as per Appendix A of the Extensions and Late Submissions policy that there are a number of assessment types that are exempt from this Policy. This includes:

  • Groupwork
  • Assessments which are scheduled for a particular time and require supervision or invigilation (i.e. exams, class tests, OSCEs)
  • Multiple choice question exams
  • Any assessment where any extension could delay the release of marks/ feedback to the full cohort (e.g. online quizzes)
  • Online timed assessments, e.g., assessments open for a 24-hour period.
