ISLA (Inclusive Synchronous Learning Activities) guide

This guide will explain what the capabilities and use-cases are for rooms set up for ISLA teaching.

Lay out of a Zoom Room Pod

  • S1 - is Pod PC screen.
  • S2 - is Zoom computer screen which displays the content being shared to the Zoom meeting.
  • P1 - is the System Crestron panel which has the controls for the rooms.
  • P2 - is the Zoom Crestron panel which has the Zoom meeting controls.

The pod of a Zoom Room

Joining the Zoom meeting

  • Log in to the pod PC.
  • Touch the System Crestron Panel P1 to start the system.
  • To join the Zoom meeting, select Join on the Zoom Crestron panel P2.
  • Enter the Meeting ID using the on-screen keyboard.
  • Press Join.
  • Enter the Meeting Passcode.
  • Press OK.


Please note: You have joined the meeting using the Zoom Room account, which is the learning space rather than your @city.ac.uk/@bayes.city.ac.uk Zoom account. Your display name will appear as the room number, for example, FSQ511, and as Zoom Room to the online participants.

Once you are in the Zoom Room, the system will automatically share the screen of the pod PC. On the Zoom computer screen, you will see a duplicate of the desktop.

If you are not ready to share the content of the pod PC, stop sharing.

  • On the Zoom Crestron panel, press the red button Share Content
  • Then select Stop current sharing.

Now on the Zoom computer screen, you will see the profile picture of the Zoom Room account rather than the desktop.

  • To hide the desktop in the room, go to the System Crestron panel,
  • Select Hide image.

Recording the Zoom meeting:

If automatic recording has not been set up for your Zoom meeting, start the recording manually.

  •   On the Zoom Crestron panel, select Record meeting.
  •   The recording will be saved in the OneDrive cloud account of the meeting organiser

To stop recording

  •   Select Record meeting again, then Stop recording.
  •   There is currently no pause option available.

Manging Participants and monitoring chat

See the list of participants

  • Go to the Zoom Crestron panel,
  • Select Manage Participants.
  • When finished, press Done to close the screen.

Zoom room chat function

  • Select Chat on the Zoom Crestron panel.
  • To write a message, click into the text area under  "Send to everyone" then use the on-screen keyboard to type.
  • Press the blue button to Send.
  • Your message will appear in the chat history on the Zoom Crestron panel as well as a pop-up notification on the Zoom computer screen. If you get new messages from the Zoom participants, you will also see their message notification, and on the Zoom Crestron panel, any unread messages will be highlighted with a red dot on the Chat icon. Zoom messages are only visible to you, not to the in- room participants.
  • When finished, press the Close button at the top right corner.

Turning on the camera in a Zoom Room

  • Select Start Video on the Zoom Crestron panel.
  • You can see the preview on the Zoom computer screen. In the hybrid teaching rooms, a second camera has been installed so that the online students can see the in-room participants. This camera is fitted at the front of the room.
  • To switch between these two views for the online students, go to the System Crestron panel and select Camera setup.
  • The Rear mounted camera shows the teaching pod and the projection screen, this is the default view.
  • The Front mounted camera shows the view of the in-room students. This is useful for ice-breaking activities or group work.
  • If required, press the direction keys to change the camera angles, and the Up/Down buttons to zoom in or out.
  • If both of your computer screens are showing the camera view of the room, go to the System Creston panel, select PC.
  • The desktop will re-appear on the pod PC screen.

Allow online students to speak to in-room students

  • If you want your online participants to speak to the in-room students, ensure that Zoom Conference remains as selected on the System Crestron Panel. Then ask them to unmute their microphone to speak. You and the in-room students should be able to hear their audio.
  • To adjust the volume broadcast to the lecture room, adjust the system volume upward.

Allow the in-room students to speak to the online participants

If your in-room students are invited to speak to the online participants, their audio will be picked up by the audience mics on the ceiling.

  •     Go to the System Crestron panel,
  •     Press the Mute button next to the Audience Microphone to unmute the mics.
  •     You will then see the red button Unmuted.

Present content to the class

Share presentation

Open the presentation on the desktop. This can be from your One Drive, for example, or on a USB stick. When you are ready to start the lecture, check if the in-room students can see your PowerPoint on the projection screen.

  •     To share your presentation to the Zoom meeting,
  •     Make sure that PC and Zoom Conference are selected on the System Crestron panel.
  •     Then go to the Zoom Crestron panel,
  •     And select the green button Share Content.
  •     Then press Share to meeting.
  •     Now both your in-room students and students online can see your presentation.

Share the Zoom gallery

  • To allow the in-room students to see the Zoom participants, use the Change View option on the Zoom Crestron panel.
  • Note that this button is available only if you are currently sharing content in the Zoom meeting.
  • To display all the cameras in the Zoom meeting, choose the Gallery view.
  • Gallery view is available only if more than one participant has turned on their camera.

Share videos

  •     To share a video, play it on the pod PC.
  •     Both the in-room and online students should be able to hear the audio.
  •     If necessary, adjust the System volume on the System Crestron panel.
  •     To stop sharing, press the button Share Content again.
  •     Then press Stop current sharing, button goes green.
  •     Press X button to close the screen.

Sharing content with visualiser

If you want to show handwriting or paper documents in your lecture, use the visualiser. It is much better to use the visualiser for showing handwriting than a flip chart, as the image quality and size of your handwriting will be more readable. Even students sitting at the back of the lecture room can see them clearly.

  • To switch from your presentation to a visualiser,
  • Go to the System Crestron panel,
  • And select Visualiser.
  • Ensure that Zoom Conference is still selected, then Zoom Creston panel and press Share Content.
  • To go back to your presentation, press PC on the System Crestron panel if you are presenting from the pod PC. Then press share to meeting to display content.

Allowing guest lecturers to present remotely

Contact the local AV support team in advance of your session to enable this feature. The Zoom Room functionality will not share content to the large display screens. Request supoprt through the IT Service Desk.

Ending the Zoom Room meeting

It is important that you end the Zoom meeting before you leave the lecture room.

  •     On the Zoom Crestron panel, select End.
  •     Then select  End meeting for all at the bottom of the screen.
  •     Sign out of the pod PC before leaving the lecture room.
