Manage participants guide

An overview of the different student enrolment methods in Moodle.

About Participants

The Participants page enables Programme Administrators to easily enrol, view, search for, filter, edit and delete module participants. Lecturers can use the Participants page to view, search for and filter module participants.

You can access the Participants from the Settings menu in a module.

  1. Select Settings to open the menu.

About student enrolment

Most student enrolment is automated. Programme Administrators should not complete manual enrolments on modules where enrolment is automated from SITS, via a business rule or from a meta-link.

Very occasionally you may be managing a module that requires manual student enrolment. Only Programme Administrators can complete manual student enrolment. Lecturers do not have permission to enrol students on modules.

Programme Administrators may also need to complete manual student observer enrolment on modules to provide students with read-only access on modules.

Enrol student

  1. Enrolled usersSelect Settings to open the menu.
  2. Select Users.
  3. Choose Enrolled Users.
  1. The Participants page will display a list of users already enrolled on the module. This will include information on the roles assigned, profile details and if users are assigned to specific groups.
  2. Select Enrol users.

Participants

  1. Start typing the student's name in the Select users search field. Select the relevant user.
  2. Change the Assign role to the relevant staff role, e.g. Student, Student Observer.
  3. Start typing the second student's name in the Select users search field. Select the relevant user. Repeat until you have found all the users that you need to enrol in the same role.
  4. Select Enrol users.

  1. If a student does not appear in the search, it could be that they are already enrolled on the module, check the Participants page. 

Enrolled users

  1. To change a student's role, select Settings to open the menu.
  2. Select Users.
  3. Choose Enrolled Users.
  1. Select the edit icon (pencil) alongside the role for the relevant user.

  1. Remove the current role from the user, by selecting on the x alongside the role.

  1. Select the arrow on the right side of the box and select a different student role from the drop-down menu, e.g Student Observer.
  2. Select the Save icon to save your changes.

Enrolled users

Unenrolment is automated on SITS modules, so ensure student unenrolment is done on SITS. The process below is only required for modules with student self enrolment or where the Programme Administrator is managing enrolments manually.

  1. To unenrol students from a module, select Settings to open the menu.
  2. Select Users.
  3. Choose Enrolled Users.

  2. A warning message will appear, select Unenrol on the confirmation screen.

 

Filters

  1. Select Settings to open the menu.
  2. Select Users.
  3. Choose Enrolled Users.

The filter at the top left of the Participants page allows for filtering by period of activity, enrolment method, group, roles, status and keyword. More than one may be selected, with the option to filter by Any or All.

Once you have set your conditions select Apply filters to view the results. Select Clear filters to remove the filters applied.
