Find out how to schedule Lecture Capture and connect Lecture Capture with your Moodle module.

About automated Lecture Capture scheduling

All taught sessions classified as lectures in the MyTimetable system will be automatically scheduled to be recorded using Lecture Capture if they are timetabled in a Lecture Capture enabled room. Lecture recordings will start to be scheduled from 5th August 2024 and recordings are scheduled 180 days in advance. Subsequent changes or cancellations will also be handled automatically. This helps the University meet the default position under the Online Teaching Materials & Lecture Recordings Policy, that all lectures will be captured using Lecture Capture or other software. 

Sources recorded with automated scheduling

To facilitate the automatic scheduling Lecture Capture recordings, recording schedules need to be set consistently and reflect how most recordings are captured.

Lecture Capture recordings that are automatically scheduled will record the following sources:  

  • Audio (A) 
  • Data Projector (D) 
  • Video Camera (V) 

Lecture Capture live stream will not be enabled on automatically scheduled recordings. If you need to change the sources to be recorded and/or to enable live stream you will be able to do this via IT Self Service Portal. 

Benefits of Video Camera capture

All Lecture Capture rooms have been fitted with professional high-resolution cameras that are adjustable from the Pod Controls and can capture in low light. Capturing the Video Camera has many benefits including:

  1. Captures the lecturer/presenter close up or across the whole teaching zone.
  2. Captures work on the whiteboard e.g. Maths equations, writing and diagrams.
  3. Captures non-verbal communication.
  4. Gives students reviewing the recording a sense of being at the lecture.
  5. Creates a visual record of activities e.g. demonstrations, panels.
  6. Provides visual cues for those watching and searching the recording.
  7. Provides visual cues for those attending on live stream.

Request change of sources or enable live stream

Guest speaker consent for automated Lecture Capture recordings

Changes to Lecture Capture settings 

Once requested with at least two working days’ notice, staff can request to change Lecture Capture recording sources or to opt in to live stream using the Automated Lecture Capture change of detail form on IT Self Service Portal.

Review your Lecture Capture schedule

Lecture recordings will start to be scheduled from 5th August 2024 and recordings are scheduled 180 days in advance. After 5th August, any ‘lecture’ taking place within 180 days should be scheduled in Echo360 unless it falls within one of the exclusions 

Teaching and course office staff enrolled on the corresponding module can check which recordings have been scheduled via the Lecture Capture activity on the relevant Moodle module. Alternatively the recording owner can check the schedule via Echo360. 

From Moodle

  • Open the relevant Moodle module.
  • Select the link to Lecture Capture from the Module dashboard.
    • For new modules using Grid format, open the Block drawer, navigate to the Module dashboard block, and select the link to Lecture Capture under Activities. For 2023-24 modules using Grid format, open the Block drawer, navigate to the Activities block, select the link to External tools and select the link to Lecture Capture. )
  • This will display a list of all the Lecture Capture activity links you have added to your module. Select the relevant link.
  • This will display a list of recorded sessions and scheduled sessions.

From Echo360

  1. Recording owner login to Echo360 website.
    • The recording owner is the member of academic staff listed on the Timetable for the scheduled lecture.
  2. Select Courses from the top navigation bar to display a list of all modules that you are enrolled on as instructor. 
  3. You can use the drop-down to re-arrange the display of the courses or use the Search Courses field to search for the course.

  4. Select the relevant section (instance of module on Moodle). This will display the list of recordings and scheduled recordings for the associated Moodle module.

Changes to timetable

Changes to timetabled lectures need to be made through the timetabling system for the changes to made to the Echo360 schedule.

Availability of scheduled Lecture Capture recordings to students

You need to connect Lecture Capture to Moodle for students to review their Lecture Capture recordings. Lecture Capture recordings will be scheduled with a 1-day delay before becoming available to students. This provides staff with time to edit the recording or to request that the recording is deleted if the lecture did not take place as scheduled. 

Lecture Capture recordings for other types of taught sessions

Staff may want to record other types of taught sessions, i.e. tutorials and/or seminars and make these recordings available for students. The Lecture Capture booking form on IT Self Service Portal will enable staff to request recordings of taught sessions not classified as lectures on MyTimetable. 

Remember to add your exceptions to the booking form for weeks you are not teaching the session - e.g. reading week. Otherwise the empty room or private conversations will be recorded and made available to your students via the Lecture Capture activity on Moodle.

If there are any changes to your schedule or room information after you have made your booking, log a request on IT Self Service Portal citing the booking reference and ask for the changes to be reflected in your Lecture Capture recording schedule.

Last-minute changes

If you are allocated to a different room for your tutorial/seminar or need to cancel your recording, please call 020 7040 8181 to discuss changes required.

Booking or changes less than 48 hours ahead?

For Lecture Capture and live stream booking requests within the next 48 hours or urgent changes to an existing schedule we recommend you call the service desk on 0207 040 8181 who will log a ticket for you and alert the relevant team.

Please have your original service request at hand for changes and have all the information required in the Lecture Capture booking form for new bookings.

Cancel a Lecture Capture recording

If you are allocated to a different room and/or need to move or cancel the recording booked via the Lecture Capture booking form, please call 020 7040 8181 to cancel your Lecture Capture recording.

Book a lapel microphone

Lapel microphones can be used in a number of learning spaces. This gives you the flexibility to move away from the Pod and the front of the room while still ensuring that your voice is picked up on the Lecture Capture recording. 

Opt out of Lecture Capture recordings

As per the Online Teaching Materials & Lecture Recordings Policy, staff may choose to opt out of live Lecture Recordings. They may do so in relation to individual sessions, or for complete modules or lecture series. 

The Lecture Capture opt-out form on IT Self Service portal enables staff to request to opt out of recording and for recordings to be deleted. Staff will need to provide at least 2 working days’ notice in advance of a Lecture Capture schedule to ensure that a booking is cancelled. 

  • The workflow on this form ensures that the request is sent to the relevant Head of Department along with any reasons provided for opting out. 
  • The remainder of the form will go to IT so that they can cancel upcoming schedules and delete any Lecture Capture recordings if this is requested in the opt out. 
  • IT cannot delete recordings from Zoom and Teams of online lectures. These recordings can only be managed by the recording owner. 

Reasonable Adjustments

As per the Online Teaching Materials & Lecture Recordings Policy, where staff opt out of recordings, and recording is a recommended reasonable adjustment for a student, the responsible staff member must initiate resolution procedures within 10 working days of receipt of the Student Support Plan.
