Extend Lecture Capture guide

Extend your use of Lecture Capture by ingesting your Zoom recordings and recording student presentations.

About recording student presentations

This guidance outlines how to use Lecture Capture to record individual student presentations or assessments in order to make a copy of the presentation available to an internal or external examiner. Before you record students, they need to sign a consent form and this needs to be kept on their file. You cannot record students without written consent being in place.

One month prior to presentation

  1. Request a new staff-only Moodle module is set up to display your Lecture Capture recordings. It is important that no students are enrolled on this module.
    • Once you add a Lecture Capture activity to Moodle, students can access the associated recordings via Echo360 even if you hide the Lecture Capture activity.
  2. In order to capture student presentations/assessments, you need to be scheduled in a DALI room with Lecture Capture enabled for the session. You will also need to book the same room two weeks in advance of the presentation in order to do a dry-run as outlined below.
  3. Check with AV if they can provide in-room support at start of both the dry-run and student sessions.
  4. Schedule Lecture Capture for dry-run with staff (must be booked at least two working days in advance of dry-run). Ensure that you choose to make the recording unavailable. We recommend that you select Data Projector and Audio as your inputs to reduce the pressure that students might feel if they are being videoed. This assumes that a video of the student is not a necessary part of the assessment. It is important that your dry-run is set up with the same inputs that you are using in the assessment.

Two weeks prior to presentation

  1. Arrange a dry-run of the presentation conditions two weeks prior to the presentations/assessments in the room you are planning to use with students.
    • Book a wireless microphone with IT AV support for the dry-run.
    • Check with AV that the battery life on the microphone will be sufficient for all the presentations/assessments (Typically, a battery should last 8 hours).
  2. Check that the session is being captured by checking the Crestron panel. A notification that Lecture capture is recording should display across the top of the Creston panel.
    • If the session is not being recorded, call the IT Service Desk using the in-room phone and ask them to check the status of the recording.

  1. Once the Crestron displays a notification Lecture capture is recording, pair the microphone.
    • Notification pairing successful should display.
  2. Press Pause Capture until you are ready to start the dry run.
  3. Remind presenters to wear the lapel mic and to stand close to gooseneck microphone on the presentation pod, to state their name and to repeat any questions asked so that the questions are picked up by Lecture Capture.
  4. Press Resume Capture on the Crestron panel once you are ready to start recording.
  5. Press Pause Capture after each presenter has finished speaking.
    • Remember to press Resume Capture for each presenter.
  6. If you finish the session earlier than scheduled, press Stop Capture to end Lecture Capture in the room.
  7. Make a note of any tips that might be useful to in-room examiners/invigilators in order to provide a checklist to those supporting the sessions with students.
  8. Review Lecture Capture recording(s).
    • If there are any issues with the recording(s) log these via IT Self Service Portal.

One week prior to presentation

  1. Confirm that any issues raised during the dry-run have been resolved.
  2. Check with AV if it is possible for them to complete a room-check the morning prior to the presentation/assessment to ensure everything is working as expected.
  3. Book a wireless microphone with AV support.
  4. Schedule Lecture Capture against the new module code that you requested one month prior to the presentation/assessment.
    • We recommend that you select data projector and audio as your Lecture Capture inputs to reduce the pressure that students might feel if they are being videoed.
    Ensure that all students have signed the consent form and that this is on file.
  5. Provide a checklist for in-room examiners/invigilators that are facilitating the session.

Day of the presentation

  1. Ensure you have the following information to hand during your Lecture Capture:
    • a paper copy of the checklist for the in-room invigilators
    • guidance on the DALI Pod for in-room invigilators
    • the ServiceNow Task number for the Lecture Capture schedule in case of any issues
  2. Check that the session is being Lecture Captured by checking the Crestron panel. A notification that Lecture capture is recording should display across the top of the Creston panel.
    • If you have decided to record video input, then check that the camera angle is correct and recording the lectern area where the student presenter will be standing. Select Camera setup from the Creston to control and view the camera angle.
    • If the session is not being recorded, call IT Service Desk using the in-room phone and ask them to check that status of the recording.
  3. Once the Crestron displays a notification Lecture capture is recording, pair the microphone.
    • Notification Pairing successful should display.
  4. Press Pause Capture until you are ready to start the student presentations/assessment.
  5. Remind students to stand close to gooseneck microphone on the presentation pod, wear the lapel mic, to state their name and to repeat any questions asked so that the questions are picked up by Lecture Capture.
  6. Press Resume Capture on the Crestron panel once you are ready to start recording.
  7. Press Pause Capture after each student has finished speaking. Remember to press Resume Capture for each student.
  8. If you finish the session earlier than scheduled press Stop Capture to end Lecture Capture in the room.

Day of the presentation checklist

  • Confirm that Lecture Capture is recording from panel. A notification Lecture capture is recording will display in red across the Crestron panel.
  • If you have decided to record video input, then check that the camera angle is correct and recording the lectern area where the student presenter will be standing. Select Camera setup from the Creston to control and view the camera angle.
  • Check that student is wearing the lapel microphone and standing close to the gooseneck microphone on the presentation pod to ensure audio is picked up.
  • Remind student to state their name before starting their presentation/assessment
  • Press Pause Capture when a student finishes their presentation.
  • Press Resume Capture prior to the next student starting their presentation.
  • Ensure that each student presenter is wearing the lapel microphone before starting their presentation.
  • Remind students to repeat any questions asked by the audience so that these are picked up by Lecture Capture.

After the presentation

  1. Edit the recordings to meet your requirements.
  2. Make the recordings available to internal and external examiners via a link in Moodle.
